QC Checklist — Post-Session Production
Run this after completing the full post-session workflow. Every "No" requires a fix before the work is done.
Phase 1: Read and Extract
- [ ] Full transcript read — not skimmed, not summarized from relay recap?
- If you used a processed recap as your primary source, stop and re-read the transcript.
- [ ] Reference data loaded and cross-checked?
- Every name, org, and tool in the email matches the reference data.
- Any new names/orgs from the session added to reference data.
- [ ] Action items extracted into two lists (client + Kathryn)?
- Nothing missing. Compare against the transcript — did anyone commit to something that's not on a list?
- [ ] Action items filtered: AOS engagement work only?
- Client's own business operations are NOT action items unless tied to a build or constraint.
- [ ] Friction analysis complete?
- Every client action item assessed: easy / hard / Kathryn can help.
Phase 2: Draft
- [ ] Correct skill selected? (advisory-client-email for paying client, session-recap for coachee)
- [ ] Opening is 1-2 sentences referencing a specific moment?
- [ ] Wins are factual, not editorialized?
- [ ] What We Covered is compressed — one line per topic, not nested sub-bullets?
- [ ] Action items grouped by owner?
- Client items have "Before our next session:" framing.
- Kathryn items in third person.
- [ ] Next session date and proposed agenda included?
- [ ] Closing is warm and specific, not motivational?
- [ ] Subject line follows format: [Topic]: [M-DD-YYYY]?
- [ ] HTML version produced for Gmail copy/paste?
Phase 3: Voice and AI Tells
- [ ] Read the email aloud. Does it sound like Kathryn?
- [ ] No stacked encouragement? (Two or more encouraging statements back to back)
- [ ] No "That's exactly..." constructions?
- [ ] No behavior narration? ("You did X, and that shows Y")
- [ ] No future-state promises without specifics?
- [ ] No exclamation points (unless Kathryn uses them in golden examples)
- [ ] Every sentence is specific to this client? (If you can swap the name and it still works, it's too generic)
Phase 4: Action Item Execution
- [ ] Every Kathryn action item either drafted or scheduled?
- Draftable items → in
drafts/ - Deep work items → calendar event created
- [ ] Follow-up reminders created?
- Client commitments with dates → reminder for day after
- "Check in on X in Y weeks" → calendar event
- [ ] Next session prep event created?
- 24-48 hours before next session
- Description includes what to review
- [ ] Companion emails drafted?
- Friction-reduction email (if needed)
- Golden examples list (if needed)
- Any other follow-up emails referenced in the main email
Phase 5: File Management
- [ ] Sent emails moved to archive?
- [ ] Processed inputs moved to archive?
- [ ] Flags noted for other workflows? (CPM update, project plan update, blueprint update)
Ship Criteria
Done when:
- All phases pass QC
- Email sent (or in
ready/) - Every Kathryn action item has a next step (drafted or scheduled)
- Calendar has follow-ups, deep work blocks, and next session prep
- Files are in the right places
Not done when:
- Email is sent but action items are just a list with no next steps
- Kathryn's items are "noted" but not drafted or scheduled
- No calendar entries created
- Files still in
drafts/that should be inarchive/
