Welcome. Here’s your Tool Stack Audit.

Kathryn Brown

Kathryn Brown — Founder, Advisory OS & Practice Builders. 25 years in operations, the last decade inside consulting firms, CPA practices, and wealth management firms.

Why I built this

I spent an afternoon auditing every subscription I pay for to run my practice.

I found 2 tools I could eliminate by consolidating into platforms I already owned and writing lightweight automations myself. Then I went several levels deeper into 4 other tools — found integrations and capabilities I’d been paying for separately.

$100/month cut. $1,200/year back. Smoother workflow with fewer moving parts.

I turned the process into a skill so you can do the same thing.

The Skill

Tool Stack Audit

A guided conversation that audits every subscription you pay for. Works inside Claude, ChatGPT, or Gemini. You answer questions about how you actually use your tools. The skill does the mapping and math.

Three phases: inventory your stack, assess depth on each tool, get the analysis.

What You Get Back

1 Current Stack — every tool, cost, and what you actually use it for
2 Overlap Map — where capabilities duplicate across your stack
3 Depth Scores — how much of each tool you’re using, scored 1 to 5
4 Recommended Cuts — what to cancel, with migration steps and estimated savings
5 Go Deeper List — the 2–3 tools worth investing real time in this month
6 Estimated Savings — monthly and annual, broken down by cut

Works with any large language model.

How to install and run it

  1. Open your AI tool of choice (Claude, ChatGPT, Gemini)
  2. Navigate to Settings or Custom Instructions
  3. Upload or paste the skill file you downloaded above
  4. Save and start a new conversation

Works with any large language model. Setup steps vary slightly by platform.

Running it

Start a new conversation. Type “Audit my tool stack” and follow the questions. Have your bank statement or subscription list handy — you’ll catch tools you forgot about.

A few things that help

Have your bank statement handy. You’ll catch subscriptions you forgot about. Most practice owners undercount their stack by 2–3 tools when listing from memory.
Be honest about depth. The skill scores based on what you tell it. If you haven’t opened a feature in months, say so. The audit works better with honesty than optimism.
The go-deeper list matters more than the cut list. Saving $30/month is fine. Discovering your existing tool can replace a $200/month subscription is the real win.
Run it again in 90 days. Tools ship new features constantly. What scored a 2 three months ago might have deeper capability now.

When the problem goes deeper than your tools

The Tool Stack Audit handles your subscriptions. But sometimes the audit surfaces something bigger — the tools aren’t the constraint. The way your practice operates is.

I run a free 60-minute Systems Diagnostic for established practice owners. We map how work actually moves through your practice — where it stalls, where it depends on you, where the real bottleneck is.
